Searching for Items

There are three ways to perform Item searches in the Administration module: Selecting a list of Items in a particular state from the Item Summary section, browsing an Item Set from the Item Sets section, browsing Items by Catalog/ Category in the Item Browser section, or using the Search form at the top of the Inventory Manager page. You can also browse Items by Catalog/ Category in the Customer Service Center. Each method is described here.

Note the following regarding the search results for all search types in the Administration module:

You can perform various actions on one or more Items in the search results. Select an action from the Run an action on these X Items drop-down list or one of the other action forms at the bottom of the page. For details on any of these actions, refer to the appropriate section in the Order Management Operations online help. The following actions are available from the Run an action list:
  • Reset Approval
  • Category (Add)
  • Category (Overwrite)
  • Hide Items
  • Show Items
  • Suspend Items
  • Unsuspend Items
  • Modify Complex Pricing
  • Change Flag
  • Change Tag
The following action forms are also available for use with selected search results:
  • Change the basis price on these X items
  • Modify the catalog on these X items
  • Perform set operations on these X items (Create Global Set or Create User Set)

Searching for Items from the Item Summary Section

To search for an Item from the Item Summary section:

  1. In the Main or Inventory accordion menu, select Inventory Manager.
  2. Click view for a list of Items in the Item Summary. For example, click the view link for alerted Items.

Browsing Items in the Item Sets Section

If you have defined sets of Items, they are listed in the Item Sets section. To browse them:

  1. In the Main or Inventory accordion menu, select Inventory Manager.
  2. Click the link for the desired Item Set to execute a search that returns all Items belonging to that Set. If only one Item is found, the Item details popup for that Item opens automatically.

You can rename a Set here by clicking the Edit link for the Set. To change the contents of a Set, use the Perform Set Operations on these X Items tool on the search results page.

Browsing Items by Catalog and Category in the Item Browser Section

To browse Items by Catalog and Category in the Item Browser section:

  1. In the Main or Inventory accordion menu, select Inventory Manager.
  2. Check the Only Show Available Items box to restrict the results to Items in an Available state. By default, this box is checked.
  3. Select a Catalog from the drop-down list. Leaving the default selection of –Any– includes all Catalogs.
  4. At any time, click Recount Categories to recalculate the Category hierarchy.
  5. Navigate the hierarchy using the + and - buttons.
  6. Click the link for a Category to execute a search that returns all Items belonging to that Category or its Subcategories.

Searching for Items Using the Search Form

To search for an Item using the Search form at the top of the Inventory Manager page:

  1. In the Main or Inventory accordion menu, select Inventory Manager. The Inventory Manager appears.
  2. Along the top of the page are the search criteria fields, which filter the search results. Using more than one search criteria refines the search results.
    Note: Search drop-down lists are user-customizable and are based on the structure and needs of each company.
  3. Select the search criteria from one or more drop-down lists. Available search criteria include:
    • Tag: A drop-down list to search for Items based on the Tags assigned to Items.
    • Catalog: A drop-down list to search for Items based on item/ product Catalog names.
    • Type: A drop-down list to search based on the Item type. The following types can be searched (note that some of these types are only used in legacy systems):
      • ItemMaster
      • Item - Physical
      • Item - Kit
      • Item - Assembly
      • Item - Service
      • Item - Virtual
      • Layout Group
    • Item #: A drop-down list to search based on specific criterion types. When the criterion type is selected, enter search terms based on it. Wildcard searches can be made using the percent (%) symbol, which represents zero or more characters. The following options are available:
      Note: When using the percent (%) symbol as a wildcard, all other fields in the search form are ignored unless you prepend an ampersand (&). For example, a search on "KIT1%" returns all items with an item # that begins with "KIT1" regardless of the other search form fields, while a search on "&KIT1%" only returns items with an item # that begins with "KIT1" that also meet the other criteria specified in the form. This functionality only applies to item searches, not searches for any other object types.

    • Quick Search: A drop-down list to search based on an Item’s general state or workflow state. The following options are available:
      • Active
      • Alerted
      • Locked
      • Suspended
      • NotVisible
      • Closed
      • Duplicates
      • Oversold
      • Needs Category
      • Needs Image
      • Has Hold
      • Out of Stock
      • Available
      • Inventory
      • Waiting Approval
      • Waiting Filing
    • Flag: A drop-down list to search for Items that are flagged with a color or “CHK” (check) flag.
  4. Click Search.

Browsing Items by Category in the Customer Service Center

To browse Items by Catalog and Category in the Item Browser section:

  1. In the Customer Service Center menu, select Browse Catalog.
  2. Search in one of the following two ways:
    • Navigate to the desired Category in the Category hierarchy shown on the left side of the page and select it. Items assigned to that Category appear on the right side of the page.
    • Enter search terms in the text field in the upper right corner of the page and click Search. Wildcard searches can be made using the percent (%) symbol, which represents zero or more characters.
  3. Click an Item to open a page containing detailed information about that Item. This page might also display Items related to the selected Item. Click them to open their details.
  4. Click the 'X' in the upper right corner of the page to return to the Item browser.
